Job Advert: Club Admin Assistant
Kingsknowe Golf Club is a busy members club situated on the West side of Edinburgh. The club was established in 1908 and the course was designed by James Braid. The club has a strong competitive playing membership alongside a strong social side supported which is widely supported by our members.
We are now looking to appoint an admin assistant to assist current staff in supporting club operations. We currently have an experienced admin team member in place and are looking to compliment this person by expanding the team to support the ongoing workload.

Key Responsibilities:
1. Handling internal and external enquiries promptly with professionalism and courtesy, showing excellent people skills and general etiquette.
2. Maintain filing systems both electronically and in hard copy for easy retrieval of documents.
3. Support bookkeeping tasks using Sage to ensure income from various departments is checked before passing to the external accounts for inclusion in monthly / annual accounting information.
4. Following authorisation from the heads of dept / relevant convenors arrange payment of external invoices.
5. In conjunction with the Club Professional act as a point of contact for existing / new members and assist in resolving member queries including those related to Intelligent Golf (specialist golf club software system) - training in IG will be provided.
6. Opening and distribution of mail.
7. Aiding from an admin perspective in the development and circulation of the annual review to members.
8. Aid in the preparation of annual reports to the board on membership numbers / finance etc
9. Distribution of annual subscription renewal notices to members and maintain a record of payments as they come in to keep the board up to date with progress with subscription renewals.
10. Where required assist with minute taking for meetings.
11. Perform administrative duties and managing correspondence.
Experience required:
1. Experience as an admin / booking assistant or similar role within an office environment.
2. Customer facing experience.
3. Strong computer skills especially in Microsoft applications such as outlook, excel, word.
4. Ideally previous experience in working with Sage (training will be provided)
5. Excellent organisational skills with a keen attention to detail.
6. Strong written and verbal communication skills.
7. Demonstrated ability to work well independently as well as part of a team.
Benefits:
Salary up to £25,000 on a pro-rata basis, based upon 36 hour week. Final salary will be dependent on agreed hours / experience.
